1. Information we collect
Account and organization information
We collect information needed to create and administer an authorized dealership account, such as your email address, name if supplied, organization, store assignment, user role, authentication records, and account activity.
Location and Bluetooth sighting information
When an authorized user grants the relevant permissions, the LotPing app scans for LotPing Bluetooth tags and may collect precise device location, the tag identifier, signal-strength measurements and summary statistics for a short observation window, date and time, and the user, store, and receiving device associated with a sighting. If background access is enabled, this collection may continue while the app is not visible. A tag does not determine its own location; LotPing estimates a vehicle’s last-seen location from the authorized phone that detected its tag.
Location confirmations
When an authorized user confirms that they have found a vehicle, we record the device’s location and accuracy at that moment, the date and time, the vehicle, and the identity of the user who confirmed it. We also record the location the Service had estimated for that vehicle immediately beforehand, together with the difference between the two. Within the Service we display only the confirming user’s role—for example “Management”, “Inventory Staff”, or “Sales Rep”—and not their name. We use these records to show colleagues that a vehicle’s location was verified and to measure and improve the accuracy of our location estimates.
Consent records
We record which version of our Terms of Use and Privacy Policy each user accepted, when they accepted it, and whether they accepted in the mobile app or on the web. We keep these records to demonstrate that users were informed about the collection described in this policy.
Device, app, and network information
We may collect an app installation identifier, device name, platform and operating-system information, app version, connectivity information, IP address, and diagnostic or security events needed to operate, secure, and troubleshoot the Service. Bluetooth access is used to detect LotPing tags. Cellular or Wi-Fi connectivity is used to transmit sightings and communicate with the Service.
Vehicle and operational information
Dealership customers and their authorized users may provide vehicle and inventory data, including VINs, stock numbers, vehicle descriptions, tracker assignments, dealership locations or zones, notes, and operational history. If you use the camera to scan a VIN or LotPing tag, the app uses the camera input for that scan; we do not represent that camera images are retained unless the Service specifically tells you otherwise.
Communications
We collect information you send to us, including demo requests and support messages. We or our service providers may send transactional email for invitations, authentication, password resets, security, support, and Service administration. We may also collect basic delivery and engagement records associated with those messages where provided by the email service.
Website usage
Our hosting and security providers may process routine request information, such as IP address, browser type, referring page, and request timestamps. If we later enable optional analytics or similar technologies, we will update this policy and any required consent or App Store disclosures before using them.
2. Employee and workforce information
LotPing is used by dealership staff during work, and some of the information described above identifies individual employees. We think that deserves to be stated plainly rather than left to be inferred.
What is recorded about an individual
When an employee’s phone detects a tag, we record the phone’s location and the time, together with the user and device the sighting came from. When an employee confirms a vehicle’s location, we additionally record that employee’s identity alongside the confirmed position. Where background access is enabled, sightings may be recorded while the app is not open.
Identity is recorded but is not shown to colleagues. Screens in the Service identify a confirmation by role rather than by name.
What LotPing is not
LotPing collects location in connection with tag scanning and vehicle confirmations. It is not designed or intended as a timekeeping, attendance, productivity-measurement, or disciplinary tool, and we do not provide features built for those purposes. We do not use employee location for advertising.
Who can see it
Authorized administrators at the employing dealership can see vehicle locations, the role that recorded a confirmation, and when. Access depends on the role the dealership assigns. Individual identity behind a confirmation is retained in our records and is not displayed in the Service.
The dealership’s responsibility
The dealership decides whether to use LotPing, which employees use it, and how the resulting information is used in its workplace. The dealership is responsible for providing any notice, obtaining any consent, and maintaining any policy or agreement that applicable law, a collective bargaining agreement, or its own practices require, and for any employment decision it makes. Type 1 does not make employment decisions.
Consent and turning it off
Before the mobile app collects sightings, we ask each user to review and accept the current Terms of Use and this Privacy Policy, and we record that acceptance. A user can stop collection at any time by turning off receiving in the app, changing or revoking location permission in device settings, or uninstalling the app. Doing so may prevent LotPing features from working, and workplace expectations about using the Service are set by the employer rather than by us.
3. How we use information
We use information to:
- provide vehicle search, last-seen location, tag assignment, mapping, account, and administration features;
- authenticate users, manage permissions, and keep dealership data separated by organization;
- deliver invitations, password resets, transactional notices, demos, and support;
- maintain, secure, debug, and improve the Service and prevent misuse; and
- comply with law, enforce agreements, and protect users, customers, Type 1, and others.
We do not use precise location to serve advertising. We do not sell personal information or use it for cross-context behavioral advertising.
4. How we disclose information
- Within your organization. Authorized dealership users and administrators may see information based on their assigned role.
- To service providers. Vendors that support hosting, databases, authentication, mapping, communications, security, and technical operations may process information for us under appropriate contractual restrictions.
- For legal and safety reasons. We may disclose information when reasonably necessary to comply with law or legal process, enforce our agreements, or protect rights, safety, and security.
- In a business transaction. Information may transfer as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law.
We do not permit a third party receiving user data from us to use that data with less protection than this policy and applicable law require.
5. Retention and deletion
We retain information for as long as reasonably necessary to provide the Service, maintain security and operational records, comply with law, resolve disputes, and enforce agreements. Retention may vary by data type and the dealership customer’s instructions. Some records, including vehicle-sighting history, location confirmations, and assignment history, may be retained as operational records unless the customer requests deletion or a written agreement sets a different period. Consent records are retained for as long as we may need to evidence that a user accepted a given version of these documents.
You may request access, correction, or deletion by contacting your dealership administrator or emailing hello@lotping.com. We may need to verify your identity and authority. We may retain limited information where required by law, for security, or to document the request. Your dealership may control business data associated with your work account, so we may direct a request to that organization.
6. Your choices and permissions
You can control camera, Bluetooth, and location access in your device settings. Turning off a permission may prevent the related LotPing feature from working. You can stop background location collection by changing LotPing’s location permission or uninstalling the app. Contact your organization administrator to update account information or remove workplace access.
7. Security and data location
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, and we cannot guarantee absolute security. Information may be processed in the United States and other locations where we or our service providers operate, subject to applicable safeguards.
8. Children’s privacy
LotPing is a business service for dealership personnel and is not directed to children under 13. We do not knowingly collect personal information from children through the Service.
9. Changes and contact
We may update this policy as the Service or legal requirements change. We will post the revised policy here and change the effective date. If a change is material, we will provide additional notice when appropriate.
